Service Terms & Conditions
Effective date: [07/15/2026] · Applies to all service work, repairs, and installations unless a separate written agreement says otherwise.
We believe terms and conditions should be readable by actual humans. Here's how we work, in plain English. If you ever have a question about any of it, just ask — straight answers are kind of our thing.
1. Estimates & Quotes
Estimates are free and come with zero pressure. We'll tell you what we'd do in your situation, including when the answer is "you don't need anything."
Written estimates are valid for 30 days from the date given. After that, material costs may have changed and we'll re-confirm before starting.
Estimates are based on what we can see and test at the time. Plumbing hides its surprises inside walls and under floors — see Section 3 for how we handle those.
2. Scheduling & Access
We'll confirm your appointment window in advance and let you know if anything changes on our end.
Please make sure we can reach the work area (water softener, water heater, main shutoff, well equipment, etc.) and that an adult (18+) is present during the visit.
If you need to cancel or reschedule, we ask for 24 hours' notice when possible. Life happens — just talk to us.
If we arrive and can't access the work area or no adult is home, we may need to reschedule, and a trip fee of $59 may apply.
3. Unforeseen Conditions & Changes to the Work
If we open things up and find something the estimate didn't cover — corroded lines, hidden leaks, prior work that wasn't done to code — we stop and talk to you first. No surprise charges, ever.
Any added work and its cost will be approved by you (verbally or in writing) before we proceed. We'll note the approval on your invoice.
You're never obligated to approve additional work. If you decline, we'll complete the originally agreed work where it's safe and practical to do so.
4. Pricing, Invoices & Payment
Your invoice will clearly separate labor and parts/materials as their own line items.
Michigan sales tax (6%) applies to parts, materials, and equipment sold to you directly, but not installed or delivered by One Stop Water Shop Water Treatment Solutions. Labor is listed separately and is not taxed when separately stated.
Any discount you receive appears as its own labeled line on the invoice — you'll always see exactly what you saved.
Payment is due upon completion of the work unless we've agreed to other arrangements in advance.
Larger installations may require a deposit of 20%, which will be stated on your estimate.
We accept Credit Card, Debit Card, Check, Venmo, PayPal, and offer a 3% discount when you pay with cash.
Balances more than 30 days past due may be charged a late fee of [2% — per month]. We'd much rather talk than charge fees — if something's making payment hard, reach out.
5. Warranties
Our workmanship: We stand behind our work. Labor and installation are warranted for 1 year from the date of service. If something we did fails within that period, we'll make it right at no charge.
Equipment & parts: Manufacturer warranties apply to the equipment and parts we install, and we'll pass along all warranty documentation. Warranty terms, lengths, and claim processes are set by each manufacturer, not by us — but we're happy to help you navigate a claim.
What warranties don't cover: Normal wear items (filters, resin, membranes, salt), damage from freezing, power surges, water conditions outside the equipment's rated range, lack of routine maintenance, or work performed on the system by anyone other than One Stop Water Shop after our installation.
6. Customer-Supplied Parts & Equipment
We're happy to install equipment you've purchased yourself. Just know:
Our workmanship warranty covers the installation, not the part itself.
If a customer-supplied part fails or turns out to be defective, return/replacement is between you and the seller, and labor for re-installation is billable.
We may decline to install equipment that we believe is unsafe, non-code-compliant, or unsuitable for your water conditions — and we'll tell you exactly why.
7. Water Testing
Our in-home water testing is informational — it's a solid, honest snapshot of your water, and it's how we recommend (or don't recommend) treatment.
It is not a certified laboratory analysis. For matters involving health concerns, real estate transactions, or regulatory compliance, we may recommend a certified lab test, and we will test with those certified lab test options. (Additional charges for certified lab testing will apply).
Water chemistry can change over time (seasonally, or after well or municipal system changes). Recommendations are based on the water as tested on the day of testing.
8. Existing Plumbing & Pre-Existing Conditions
We work on a lot of homes with plumbing that's seen better decades. We take reasonable care, but older or deteriorated pipes, valves, and fittings can fail when disturbed — that's the nature of the material, not the quality of the work.
We aren't responsible for pre-existing conditions, code violations from prior work, or failures in parts of the system we didn't touch.
If we spot a pre-existing issue during a job, we'll flag it for you — even when it's not something we're installing or making a fix for.
9. Permits & Code Compliance
Where required, work will be performed in accordance with applicable Michigan plumbing code and local requirements.
If a permit is required for your project, we'll tell you up front, including who pulls it and any permit costs, before work begins.
10. Your Property & Our Work Area
We treat your home like it's our own: shoe covers, drop cloths where needed, and we clean up our work area before we leave.
Please secure pets and move fragile items away from the work area before we arrive. We love all animals, but sometimes they can be a bit distracting!
Some work requires shutting off water temporarily — we'll coordinate timing with you and keep interruptions as short as we can.
11. Ownership of Materials
Equipment and materials remain the property of One Stop Water Shop until the invoice is paid in full. Michigan law provides contractors lien rights on improvements to real property; we consider a lien an absolute last resort and will always try to work things out directly first.
12. Limitation of Liability
To the fullest extent permitted by law, One Stop Water Shop's liability for any claim arising from our services is limited to the amount you paid for the specific work at issue. We are not liable for indirect or consequential damages (such as lost time, lodging, or damage caused by pre-existing conditions or third-party equipment failures). Nothing in this section limits liability that cannot legally be limited.
13. If Something Goes Wrong
Call us first: 616-987-6369. Seriously — most issues are resolved with one honest conversation and, if needed, a return visit. If we can't resolve a dispute directly, these terms are governed by Michigan law, and any dispute will be handled in the courts of Kent County, Michigan.
14. The Fine Print About the Fine Print
We may update these terms from time to time; the version in effect on your service date applies to your job.
If any part of these terms turns out to be unenforceable, the rest still applies.
These terms plus your estimate and invoice make up the whole agreement for the work — no verbal side deals (in either direction).
Thanks for trusting a local shop with your water. We don't take that lightly.

Straight answers about your water — and about your information. This policy explains what we collect, why we collect it, who touches it, and what we will never do with it. No lawyer-speak walls, no buried surprises.
1. What We Collect
When you contact us or book service:
Name, phone number, email address, and service address
Details about your home's water: source (well or municipal), existing equipment, water concerns, and access notes
Appointment history and communications with us
When we do the work:
Water test results (hardness, pH, iron, and other measured parameters)
Equipment details: makes, models, serial numbers, installation dates, service history
Photos of equipment and work areas (see Section 5 — we ask before these go anywhere public)
When you pay us:
Payments are processed by Square. We see your name, the amount, and a confirmation — we never see or store your full card number. Square's handling of your payment data is governed by Square's own privacy policy.
When you visit our website:
Our site runs on Squarespace, which uses cookies and collects standard analytics (pages visited, device type, general location). This helps us understand what information homeowners are looking for. You can control cookies through your browser settings.
What we don't collect: We don't buy data about you, track you across other websites, or collect anything beyond what's needed to serve your water.
2. How We Use Your Information
To schedule, perform, and follow up on service work
To send appointment confirmations, reminders, invoices, and receipts
To maintain your equipment's service history so future visits are faster and smarter
To recommend maintenance or service when your system is actually due for it — not on a sales calendar
To send occasional water quality tips or offers if you've opted in — and every message includes an easy way out
To contribute to water quality research (Section 4)
To showcase our work (Section 5 — with your permission)
3. The Systems We Use (and Why)
We're a small local shop, and like most modern businesses we rely on established platforms to operate. Your information may be processed by:
Squarespace — website hosting and contact forms
Acuity Scheduling — online booking and intake forms
Google Workspace (Gmail, Drive) — email communication and business records
Square — payment processing and invoicing
Canva — design of marketing materials (customer photos only appear here per Section 5)
These providers process data on our behalf under their own security and privacy commitments. We choose established platforms specifically because they maintain security standards a small shop couldn't build alone. We do not sell, rent, or trade your personal information to anyone, ever.
4. Water Quality Research Sharing
We believe better data makes better water for everyone in West Michigan. So:
We may share water test results with Water Quality Research Foundation (WQRF) to support water quality research.
Before anything is shared, we remove your name, street address, contact information, and anything else that could identify you or your home. What's shared is the water chemistry itself, tied at most to a general area (e.g., city or county level) so researchers can map regional trends.
This anonymized sharing helps track things like regional hardness, iron levels, and emerging contaminants — the kind of data that helps every homeowner, including you.
If you'd prefer your results stay out of research datasets entirely, just tell us. We'll honor that, no questions asked, and it will never affect your service or pricing.
5. Photos of Our Work
We're proud of before-and-after transformations, and we sometimes use job photos in marketing — website, social media, printed materials.
We ask first. Photos of work at your property are only used in marketing with your consent, collected at the time of service [on the invoice / intake form — see note below].
Marketing photos show the equipment and work area only — no house exteriors, addresses, house numbers, faces, family photos on the wall, or anything else that identifies you or your home. If it could identify your property, it gets cropped, blurred, or cut.
You can withdraw consent anytime. We'll stop using the photos in new materials promptly and remove them from our website and social channels within a reasonable time. (We can't recall printed pieces already in the wild — but nothing identifying will have been in them anyway.)
Photos taken purely for service documentation (recording equipment condition, verifying our work) are part of your service record and aren't used in marketing without the consent above.
6. How Long We Keep Things
Service records, invoices, and water test results: retained for as long as needed for warranty support, equipment history, and tax/legal requirements
Marketing consent and preferences: kept as long as your customer relationship, or until you change them.
Website analytics: governed by Squarespace's retention practices.
When information is no longer needed, we dispose of it securely.
7. Keeping It Safe
Access to customer information is limited to the people who need it to serve you — which, as a local shop, is a short list.
Accounts on the platforms above are protected with strong authentication.
No system is perfect. If a breach ever affects your personal information, we'll notify you promptly as required by Michigan law and tell you plainly what happened and what we're doing about it.
8. Your Choices & Rights
You can, at any time:
Ask what we have — request a copy of the information we hold about you
Correct it — fix anything that's wrong or outdated
Delete it — request deletion of your information, subject to what we're legally required to keep (invoices and tax records, for example)
Opt out of marketing — one click or one phone call, and every marketing email has an unsubscribe link
Opt out of research sharing — Section 4, honored without hassle
Withdraw photo consent — Section 5, same deal

9. A Few Specifics
Children: Our services and website are directed at adults. We don't knowingly collect information from anyone under 18. We do not specify children in any data other than data sets containing “Homes including children vs Homes containing only adults” if such data is obtained.
Realtor and partner referrals: If a realtor or partner refers you to us, we receive only what's needed to contact you and understand the job. What we learn about your water stays between us and you (aside from anonymized research data per Section 4) — we don't report your results back to third parties without your permission.
Legal requirements: We'll disclose information if genuinely required by law (a court order, for example) — and only what's required.
Text messages: If you communicate with us by text, standard messaging rates apply, and you can stop anytime by replying STOP.
10. Changes to This Policy
If we change how we handle your information, we'll update this policy and post the new effective date. For meaningful changes — like a new category of data sharing — we'll notify active customers directly, not just quietly edit a webpage.
Your trust is the whole business model. We don't complicate that.
